Raiser’s Edge NXT Integration

Raiser’s Edge NXT Integration

ClickBid’s Raiser’s Edge NXT integration lets you pull existing constituents into ClickBid as bidders, and push your auction activity and sales back to Raiser’s Edge after your event, without manual data entry. This walkthrough covers everything from the video above, along with a few additional details from our full integration guide that are worth knowing before you connect.

Quick Summary

  • Connect under Integrations > Dashboard. You’ll be redirected to Raiser’s Edge NXT to log in and authorize the connection, so you’ll need an RE NXT account with permission to authorize third-party apps.
  • Settings covers your campaign, auto sync, default gift type, fund, appeal, and receipt amount, event linking, constituent details, and post-event attendee data sync.
  • Auto sync is one-way only, from ClickBid to Raiser’s Edge, and runs every 5 minutes.
  • Data Mappings connect ClickBid fields to custom fields that already exist in Raiser’s Edge, on either gift or constituent records.
  • Import Bidders pulls existing Raiser’s Edge constituents into ClickBid, while Export BiddersExport Sales, and Export Guests send ClickBid data back to Raiser’s Edge.
  • Raiser’s Edge doesn’t support custom objects the way Neon does, so Send Attendee Data writes post-event stats into custom fields you set up, and clicking it again overwrites those same fields.
  • The Activity Log tracks every sync for three months, and there are a couple of known fixes for common connection and phone type errors.

Step 1: Connect ClickBid to Raiser’s Edge NXT

  1. Go to Integrations > Dashboard and find the Raiser’s Edge NXT card.
  2. Click Connect. You’ll be redirected to log into your Raiser’s Edge NXT account and authorize the connection.
  3. Once authorized, you’ll see a blue Connected button.

ℹ️ You’ll need a Raiser’s Edge NXT account with permission to authorize third-party apps. To disconnect at any time, return to the integration card and select Remove.

Step 2: Configure Your Settings

Once connected, go to the Raiser’s Edge NXT tab and open Settings.

  1. Choose a Campaign from the list pulled in from your Raiser’s Edge account.
  2. Turn on Auto Sync if you want ClickBid to automatically push data to Raiser’s Edge every 5 minutes.
  3. Set your defaults: Gift Type (Donation, Pledge, Recurring Gift, or Other), default Fund and Appeal, and your Receipt Amount preference (the full purchase amount, or just the tax-deductible portion).
  4. If you use Raiser’s Edge NXT events, set up Event Linking to connect a ClickBid event to an RE NXT event. This enables participant and fee tracking for ticket exports, guests become event participants once this is configured.
  5. Set your Constituent Details: which email type and phone type ClickBid should use (Raiser’s Edge allows more than one of each), and which constituent code to apply to new records.

ℹ️ Auto sync only moves data one way, from ClickBid to Raiser’s Edge. If you’d rather push data on your own schedule instead of waiting on the 5 minute cycle, use the manual Sync Now button.

Post-Event Attendee Data Sync

Raiser’s Edge doesn’t support custom objects the way some other CRMs do. Instead, ClickBid writes post-event stats, like total given or number of bids placed, into custom fields you create inside Raiser’s Edge, then map here. Follow the in-app setup instructions on this settings page to create the matching custom fields in Raiser’s Edge before mapping them.

⚠️ These custom fields get overwritten every time you click Send Attendee Data, they aren’t a separate record per event. We recommend naming your custom fields specifically for the event they’re tracking (for example, “Spring Fling, Total Donated” and “Spring Fling, Number of Bids”), and creating a fresh set of custom fields before your next event, rather than reusing the same ones. Otherwise, a later event will overwrite the previous event’s numbers.

Step 3: Set Up Data Mappings

Go to Data Mappings to connect additional custom fields between ClickBid and Raiser’s Edge, separate from the post-event attendee sync above.

  1. Click Custom Mapping and choose whether you’re mapping a gift record or a constituent record.
  2. Select the Raiser’s Edge custom field and match it to the corresponding ClickBid field, for example, item category or number of bids on a gift record.

ℹ️ The field has to already exist in Raiser’s Edge NXT before you can map to it here.

Step 4: Import Bidders

Go to Import Bidders to pull constituents from Raiser’s Edge into ClickBid.

  1. Select the ClickBid event you’re importing into.
  2. Search by name or email, or browse the list, constituents already imported are marked so you don’t duplicate them.
  3. Check the boxes next to the people you want to bring in and click Import.

ℹ️ This usually completes quickly, but can take up to a few minutes. Once imported, the bidder record is available under Manage Bidders.

Step 5: Export Bidders

Go to Export Bidders to send ClickBid bidder records back to Raiser’s Edge.

  • If a bidder already shows a Raiser’s Edge NXT ID, they’re already linked.
  • You can update their email or phone number, remove the existing link, or link the record to a different constituent if the current match isn’t correct.
  • Choose Add/Update to create a new constituent or update the linked one.

Step 6: Export Sales

Once guests have checked out, go to Export Sales to send completed sales and donations to Raiser’s Edge as gift records.

  1. Review the Raiser’s Edge NXT Match column. ClickBid matches on contact ID first, and falls back to matching by email address if there’s no contact ID. You can manually edit the match if needed.
  2. Select the sales you want to export.
  3. Click Export Sales.

Exported sales use the campaign, fund, appeal, gift type, and receipt amount defaults you set in Step 2, but you can change any of these at the time of export if, for example, you want donations and auction purchases to go to different campaigns.

💡 Use the Activity Log to confirm every record processed successfully before you close out your event.

Step 7: Export Guests

Go to Export Guests to send your event’s ticket holders to Raiser’s Edge as constituents, and as event participants if you’ve linked an RE NXT event under Settings.

ℹ️ This is specifically for ticket holders (guests), not bidders, use Export Bidders for your auction bidders instead.

Step 8: Send Attendee Data After Your Event

Once your event has wrapped, go back to Settings and click Send Attendee Data. This writes each bidder’s post-event stats into the custom fields you set up in Step 2.

⚠️ Clicking this again later, for example, if you’re still reconciling a few days after your event, will update the same custom fields with the latest information. As noted above, set up a new set of custom fields for your next event so you don’t overwrite this event’s numbers.

Step 9: Review the Activity Log

The Activity Log shows every action sent to Raiser’s Edge: the action type, whether it came from auto sync or a manual action, its status (successful, failed, or pending), the data sent, the response, and the date. You can filter by type, status, source, and date range.

ℹ️ Entries are kept for three months before they’re automatically removed.

Step 10: Troubleshooting

  • Blocked connection message: log into your Blackbaud account, go to the Marketplace, search for ClickBid, and select Get Started.
  • Phone type error: in Raiser’s Edge, go to Config > Tables > Phone Types and add or edit an entry so that “Home” is included as a valid type.
