Neon Integration

Neon CRM Integration

ClickBid’s Neon CRM integration keeps your donor database and event data in sync, before, during, and after your event, without manual entry. This walkthrough covers everything from the video above.

Quick Summary

  • Connect under Integrations Dashboard using your Neon Org ID and API key.
  • Settings covers your campaign selection, auto sync (every 5 minutes), manual sync, sales export defaults, and the Send Attendee Data button, which you only use once your event has fully wrapped.
  • Data Mappings connect custom fields between ClickBid and Neon on account or donation records.
  • Import Bidders pulls existing Neon donors into ClickBid, while Export Bidders and Export Guests push new ClickBid records over to Neon, matching by email to avoid duplicates.
  • Export Sales sends completed, checked-out purchases and donations to Neon.
  • ClickBid automatically creates ClickBid Activity and ClickBid Attendee custom objects in Neon to capture rich event metadata for historical reporting.
  • The Activity Log records every sync, useful for troubleshooting on your own or with our support team.

Step 1: Connect ClickBid to Neon

  1. Go to your Integrations Dashboard and click Connect on the Neon integration.
  2. You’ll need your Neon Org ID and API Key.

To find your API key in Neon, click the gear icon, go to User Management, select your user, and make sure API Access is turned on, your key will appear there. Your Org ID is in your Neon URL, the part after https:// and before the first period.

Paste both values in and click Connect. A blue Connected button confirms it worked, and you can click that same button any time to disconnect the integration.

Step 2: Configure Your Settings

Once connected, choose Neon CRM from the dropdown to access its settings.

  1. Choose the Campaign this integration should use.
  2. Turn on Auto Sync if you want ClickBid to send data to Neon automatically every 5 minutes, ticket purchases, bidder registrations, and other activity.
  3. Use Sync Now any time you want to push that same data manually instead of waiting on the 5 minute cycle.
  4. Set your Sales Export Defaults (for example, source and purpose) so exported sales are pre-populated consistently.

⚠️ Hold off on clicking Send Attendee Data until your event is completely finished and all payments have been processed. This sends a full summary of each bidder’s activity, bids placed, items won, highest bid, donations, and ticket purchases, into a custom object in Neon.

ℹ️ Auto sync and manual sync both match records by email address, so you don’t end up with duplicate people in Neon.

Step 3: Set Up Data Mappings

Data Mappings connect custom fields between ClickBid and Neon on either an account record or a donation record.

  1. Click Custom Mapping and choose whether you’re mapping an account or a donation record.
  2. Select the Neon custom field and the matching ClickBid field, for example, mapping Item Category in Neon to Item Category in ClickBid.

ℹ️ Custom fields are created in Neon under the gear icon, Global Settings > Custom Fields, for both account and donation records.

Step 4: Import Bidders From Neon

Use Import Bidders to bring existing Neon donors, for example, everyone tied to a specific fundraising campaign, into ClickBid as bidders.

  1. Review the list of donors associated with your campaign. Anyone already imported will appear grayed out.
  2. Select the donors you want to bring in and click Import.

ℹ️ This can take a few minutes, though it’s often faster. Importing automatically links the new bidder record in ClickBid to the matching account in Neon.

Step 5: Export Bidders and Guests to Neon

Use Export Bidders for anyone who isn’t in Neon yet, for example, a walk-up bidder at your event.

  1. Choose whether to add a new account in Neon or link to an existing one.
  2. Click Export Update. If a matching email address already exists in Neon, ClickBid links to that account instead of creating a duplicate.

ℹ️ Once a bidder is linked to Neon, you’ll see a CRM tag on their record under Manage Bidders, so you can filter for connected accounts at any time.

Use Export Guests to send ticket purchasers to Neon as account records.

⚠️ A guest needs an email address or phone number before they can be exported, otherwise their record will be grayed out. Add one under Manage Guests, then return to Export Guests to send them over.

Step 6: Export Sales

A sale has to be checked out (fully paid) before it can be exported.

  1. Go to Export Sales and select the sale or sales you’d like to send to Neon.
  2. Click Export.

ClickBid checks Neon for a matching email address first, attaching the sale to an existing account rather than creating a new one. Within about 5 minutes, the transaction appears in Neon as a donation or sale record.

Step 7: Understand the ClickBid Activity and Attendee Custom Objects

The integration automatically builds two custom objects in Neon:

  • ClickBid Activity: created whenever a sale or donation is exported. It includes the event ID, event name, keyword, date, item category and type, amount paid, fair market value, and tax deductible amount, metadata that doesn’t fit neatly into a standard account or donation record.
  • ClickBid Attendee: created when you click Send Attendee Data at the end of your event. It’s a full summary per person, table assignment, whether they were a ticket holder, whether they donated, number of bids placed, and total amount spent.

ℹ️ Every event you connect to Neon adds to the same custom objects, so you build historical data across events over time.

Step 8: Review the Activity Log

The Activity Log records nearly everything the integration does. It’s a useful first stop if something doesn’t look right, and it’s also what our support team reviews if you submit a ticket about the integration.
